Pending agent actions
How agent proposals show up in your inbox and how to approve, edit, or reject them.
Last updated
When an agent tries to create, update, delete, or move a note, its request becomes a proposal, not an immediate write. You review it in the inbox before anything touches the workspace.
The inbox
The inbox icon sits in the top nav, next to the help link. A badge shows how many proposals are waiting.
Click it to open the side panel. Each proposal is a card showing:
- The agent's name and colour
- What it wants to do (create a note, update a note, etc.)
- The target collection or note
- A preview of the title and body
- When the proposal was submitted
Approving, editing, rejecting
Each card has three actions:
- Approve: Applies the proposal immediately. The note is created or updated with the agent attributed as author.
- Edit: Opens a modal pre-filled with the agent's proposed title and body. Tweak anything and click Approve with edits to apply your version. Your edits are saved alongside the proposal in the audit trail.
- Reject: Dismisses the proposal. You can add an optional reason; nothing is written to the workspace.
Auto-approve
Workspace admins can flip the Auto-approve switch on a specific agent in Settings → Agents. Once enabled, that agent's proposals apply directly without showing up in the inbox. Only enable this for agents you fully trust, auto-approved writes skip the review step.
Supersession and expiry
- If an agent submits a new proposal for the same note before you've acted on the previous one, the older proposal is automatically superseded and only the newest stays in your inbox.
- Any proposal that sits pending for more than 7 days is automatically expired and removed from the inbox.
Both rules keep the inbox focused on what's actually actionable.
